Safety & compliance

Build a safety program that holds up to an audit.

We document, organize and maintain the safety and compliance side of your fleet, from driver qualification files to drug and alcohol policy, so you are ready for an inspection, a compliance review or a renewal on any given day.

Who it’s for

  • A compliance review, facility audit or CTQ file you need to prepare for
  • Driver files and maintenance records spread across people and folders
  • A safety manager stretched thin, or no safety manager at all
Request a compliance review

What we do

  1. Review your documentation

We go through driver qualification files, drug and alcohol testing records, hours-of-service logs, vehicle inspection and maintenance reports and your accident register, and benchmark them against FMCSA, CVOR, PEVL and National Safety Code requirements.

  2. Write the policies you are missing

A drug and alcohol policy, a Driver’s Manual of Policies and Procedures, a privacy policy and the other written rules an auditor expects to see, in plain language your drivers will actually read.

  3. Train and communicate

Customized training modules, accident-prevention workshops and ongoing driver evaluation, so safety is part of how the company runs, not a separate department.

  4. Audit on a schedule

Periodic safety audits compare your operation with the regulations and with your own past results. Deviations are analyzed, corrected and tracked until they close.

An ISS score above 75 is a signal to act, before inspectors and insurers act on it.

Inspection Selection System (ISS) score

Bands: FMCSA Inspection Selection System. The fleet value is an example.

What you get

  • A compliance gap report, ranked by risk and effort
  • Written policies: drug and alcohol, driver’s manual, privacy, and others as needed
  • Driver qualification files and records organized to the regulator’s checklist
  • A training calendar and accident-prevention workshop for your drivers
  • A simple dashboard of inspections, violations and trends, built in the tools you already use
  • Optional: an outsourced safety and compliance function, so your team can focus on dispatch

What we don’t do

  • We don’t assign or promise a safety rating. Only the regulator does that.
  • We don’t remove violations or inspections from your record.
  • We don’t sell you expensive software when Excel, Google Sheets and a clear routine will do.
  • We don’t replace your lawyer if a matter goes to a hearing or to court.

Questions

We are a small fleet. Is this worth it for us?

Yes. Our work is built for small and mid-sized carriers. Instead of expensive, complex software, we use low-cost models, often spreadsheets and pivot-table dashboards, sized to your fleet and your budget.

Which regulations do you work with?

The ones that apply to your routes: CVOR in Ontario, PEVL with the SAAQ and the CTQ in Québec, the National Safety Code across Canada, and the FMCSA’s CSA program and Safety Measurement System for cross-border fleets. We also keep you current with DOT and OSHA requirements where they apply.

Can you take over our safety department entirely?

Yes. Companies that find the work overwhelming, or would rather put their people on operations and dispatch, can outsource the safety and compliance function to us.

Doesn’t our telematics system already handle safety?

Cameras and telematics help, but technology works only when it is paired with human oversight, careful analysis and clear policies. We make sure the data your systems collect is reviewed and acted on.
